How to choose a procurement partner for a commercial greenhouse project

Choose the partner model that matches who carries the risk you can't carry yourself. Manufacturer networks make goods; directories list suppliers you contact yourself; EPC contractors design and build under one contract; direct tenders keep everything in-house; a supplier-neutral RFQ service like SeedMatch helps you scope one comparable request and organizes responses from independent suppliers. Whichever you choose, compare bids on the same written scope and total cost, not headline price.

Manufacturer or manufacturing networkProduces parts or equipment itself or through its own network. You already have a fixed specification for manufactured components.Their offer covers what they make, not the whole greenhouse scope.
Open directory or marketplaceLists suppliers; you contact and compare them yourself. You have time and expertise to run outreach and checks.Listings are not reviews of capacity or fit; comparing unlike offers is on you.
EPC / turnkey contractorDesigns, supplies and builds under one contract. You want a single party carrying delivery risk.Scope exclusions, change orders and how subcontracted packages are priced.
Direct tender (in-house)Your team writes the tender and manages bidders. You have an experienced procurement and engineering team.Internal time, missing interfaces and bids that can't be compared.
Supplier-neutral RFQ service (SeedMatch)Helps you scope one request; our team reviews it, contacts suitable independent suppliers and organizes comparable responses.Capital projects from USD 250,000 where you want comparable bids without managing outreach. We don't manufacture, build, lend or guarantee prices; contracts stay between you and your chosen supplier.

Criteria to compare any partner

  • Independence: does the partner earn from one supplier's product, or stay neutral?
  • Scope coverage: structure, covering, climate, irrigation, fertigation, controls, civil works, utilities.
  • Comparability: will every bid price the same scope with explicit exclusions?
  • Evidence: verifiable references for comparable projects and climates.
  • Total cost: CAPEX plus energy, fertilizer, water, labour and maintenance over 5–10 years.
  • Acceptance: written testing, commissioning and handover criteria.

Questions to ask before you sign

  1. Who is responsible for design, permits, installation and performance?
  2. What exactly is excluded from the price?
  3. How are changes priced after contract award?
  4. Which tests define acceptance, and who witnesses them?
  5. How is the partner paid, and by whom?

Buying from South Africa, India or the UK

The same partner criteria apply everywhere. What changes is what your request should state so suppliers price the same thing:

  • South Africa: state the currency for bids (ZAR or USD), who handles import clearance, and the site's water source and grid reliability, so backup power and water storage are priced in or explicitly excluded.
  • India: state whether you plan to apply for a government horticulture subsidy, because programmes can set design or vendor requirements; confirm the current rules with the relevant state authority before you issue the request.
  • United Kingdom: state planning-permission status and the site's grid-connection capacity, and ask bidders to confirm which UK or European standards their structure and electrical work meet.
