Seed Buyer Checklist — 20 Points to Cover Before You Send an RFQ

The best seed buyers close their brief before opening their inbox. This 20-point checklist covers everything a professional buyer confirms internally before an RFQ ever reaches a supplier. Skip a step and you will pay for it — in re-tenders, phytosanitary rejections or crop losses.

Direct answer

What is the single most common mistake buyers make?

Under-specifying resistance codes. Writing 'disease-resistant tomato' instead of the exact pathogen and HR/IR code lets suppliers offer their easiest inventory, not the one your climate needs.

Programme fundamentals (1–5)

Confirm the basics that everything else depends on:

  • 1. Target crop and specific variety class (F1 hybrid / OP / heirloom / organic).
  • 2. Total volume in the correct industry unit and required split across shipments.
  • 3. Target country, region, altitude and growing structure (open field / screen-house / greenhouse).
  • 4. Planting window and latest acceptable arrival date.
  • 5. Off-take or end-market for the harvest (fresh, processing, export).

Technical specification (6–10)

Turn quality into contractual language:

  • 6. Full disease-resistance list with HR / IR codes.
  • 7. Minimum germination % (ISTA orange, not internal lab).
  • 8. Purity, other-seed count and moisture maxima.
  • 9. Treatment / untreated declaration.
  • 10. Packaging size, material and labelling language.

Trade and logistics (11–15)

Every commercial term nailed down:

  • 11. Incoterms (FCA / FOB / CIF / CIP / DAP / DDP).
  • 12. Destination port or airport with realistic transit time.
  • 13. Cold-chain / hygrothermal handling requirements.
  • 14. Insurance requirement and beneficiary.
  • 15. Customs broker and importer of record.

Payment and documentation (16–20)

The paperwork that gets the seed cleared:

  • 16. Payment terms (LC, TT, supplier credit, third-party trade finance).
  • 17. Phytosanitary certificate from origin.
  • 18. ISTA orange certificate.
  • 19. Certificate of origin, GMO-free declaration, treatment declaration.
  • 20. Confidentiality, offer validity and dispute-resolution clauses.
