An RFQ is a structured procurement brief. It tells qualified suppliers exactly what you need — crop, variety class, volume, certifications, packaging, incoterms, delivery window and target market — so every supplier answers the same question with directly comparable numbers. Unlike a general inquiry ('do you sell tomato seed?'), an RFQ produces bids that can be evaluated on price, quality and terms at once.
RFQ vs RFP vs RFI
These three are constantly confused. Use the right one for the stage you are in:
- RFI (Request For Information) — early-stage market scan. 'Who can supply heat-set TYLCV-resistant tomato hybrids?' No pricing expected.
- RFQ (Request For Quotation) — you know what you want, you want prices and terms from qualified suppliers.
- RFP (Request For Proposal) — the scope is complex and you want suppliers to propose how they would deliver it (e.g. multi-year variety development, private-label breeding).
When to use an RFQ in seed sourcing
Use an RFQ whenever the buy is repeatable, comparable and specification-driven. Examples: annual F1 hybrid vegetable seed for a distributor, oil-crop seed for a large field programme, forage or cover-crop seed for a government tender, greenhouse seed for a multi-hectare project. For a single small trial lot, a direct sample request is faster.
What every seed RFQ must contain
A professional seed RFQ has ten mandatory sections. Missing any of them will produce unusable bids:
- Crop and variety class (e.g. 'F1 hybrid indeterminate tomato, TYLCV IR / ToBRFV IR / Fol race 3').
- Volume in the correct unit (kg, seeds, or units of 1,000 seeds).
- Target growing region and climate.
- Certifications required (ISTA, organic, GMO-free, ToBRFV-tested, etc.).
- Packaging (foil, vacuum, size).
- Delivery incoterms (FCA, CIF, DDP) and destination port.
- Delivery window and latest arrival date.
- Payment terms (LC, TT, supplier credit).
- Documentation (phytosanitary certificate, ISTA orange, origin certificate).
- Confidentiality clause and validity of the offer.
