1. Buyer details

Company name (or 'confidential — represented by SeedMatchGroup'), country of registration, primary contact channel, and whether the buyer wishes to remain anonymous until short-list stage.

2. Crop and variety specification

Crop, variety class (F1 hybrid / OP / heirloom / organic), maturity group, plant habit, fruit / seed profile, and every disease-resistance code required (HR / IR).

3. Volume and units

State volume in the industry-standard unit for the crop: kilograms for row crops and forage; units of 1,000 seeds for vegetable hybrids; metric tonnes for oil crops and maize.

4. Region and growing conditions

Target country, region, altitude, climate zone, and whether the crop is open-field, screen-house or fully-controlled greenhouse.

5. Certifications and standards

ISTA orange, phytosanitary, ToBRFV-tested (tomato / pepper), EU organic, USDA-NOP organic, GMO-free / non-GMO IP declaration, JAS, treatment declaration.

6. Packaging

Foil pouches, laminated sachets, vacuum packs, woven-poly bags. State pack size and labelling language required (English / Spanish / Arabic / Portuguese / French / Chinese).

7. Incoterms and destination

FCA origin / FOB port / CIF destination / CIP airport / DAP / DDP — plus the exact destination port or airport.

8. Delivery window

Earliest and latest acceptable arrival dates. Include the planting window so suppliers understand why the deadline matters.

9. Payment terms

Letter of Credit at sight, TT with 30% deposit / 70% against copy BL, CAD, open account, supplier credit 30/60/90 days, factoring, or third-party trade finance.

10. Documentation package

Phytosanitary certificate, ISTA orange, certificate of origin, GMO-free declaration, treatment declaration, commercial invoice, packing list, BL.

11. Validity, confidentiality and next steps

State the deadline for offers, the required offer validity period (typically 30 days), a confidentiality clause and a short description of how the shortlist decision will be taken.
