How to evaluate supplier offers for commercial agricultural projects

Short answer

Compare offers only after they answer the same specification. For each offer, record what it meets and where it falls short, the origin, quantity or capacity, minimum order, price basis and currency, delivery window and Incoterm. Then check how each figure is supported: a supplier statement, an independently checked document, something still pending, or an indicative estimate. The cheapest line price is rarely the lowest delivered, usable cost.

A six-step comparison method

  1. 1. Normalise: restate every offer against your RFQ lines, currency, Incoterm and delivery point.
  2. 2. Mark gaps: meets, partly meets, gap or not yet confirmed — per requirement, not per offer.
  3. 3. Label evidence: supplier-submitted, independently checked, pending or indicative.
  4. 4. Review documents: received, under review, checked against original, missing or needs replacement.
  5. 5. List seasonal and supply risks and the open questions each supplier must answer.
  6. 6. Decide on delivered, usable value — then approve any supplier introduction.

How much is each figure worth? Four evidence labels

Supplier-submitted
Stated by the supplier; not yet checked by SeedMatch Group.
Independently checked
Checked by SeedMatch Group or a named third party against an original third-party document (such as an accredited lab report), a test or an inspection; the note says what, by whom and when. Supplier declarations alone stay supplier-submitted.
Pending verification
Requested or in progress; do not rely on it yet.
Indicative estimate
An estimate for planning only, not a supplier commitment.

How to evaluate commercial seed offers

Compare line by line

  • Variety or cultivar exactly as requested, or the substitute named
  • Seed class, treatment and coating
  • Germination, purity and moisture with the lot and test date
  • Quantity, pack size and MOQ against your sowing plan
  • Arrival date relative to the sowing window

Evidence to ask for

  • Lot-specific laboratory germination and purity report (for example ISTA or an accredited national lab)
  • Phytosanitary certificate route and any import permit or variety registration needed at destination
  • Treatment declaration where a chemical treatment is applied

Red flags

  • Germination stated without a lot number or test date
  • A different variety offered without trial data in your conditions
  • Arrival planned after the planting window

How to evaluate greenhouse structure and system offers

Compare line by line

  • Structure type, covered area, gutter height and span against the design basis
  • Climate, screening, heating or cooling and irrigation scope included or excluded
  • Design loads (wind, snow, crop) and the standard quoted
  • Installation, commissioning and training scope
  • Payment milestones, warranty and lead time

Evidence to ask for

  • Structural calculations and drawings for your site loads
  • Climate system sizing basis and control specification
  • References for comparable projects that can be checked

  • Pumps, energy source and control system
  • Installation, commissioning and service terms

Evidence to ask for

  • Hydraulic design and emitter uniformity calculation for your layout
  • Datasheets for emitters, filters and dosing units
  • Commissioning test protocol and acceptance values

Red flags

  • No water analysis requested before filtration is quoted
  • Emitter flow or spacing differs from the design without explanation

Questions buyers ask about comparing offers

Supplier-submitted means the supplier stated it and nobody has checked it yet. Independently checked means SeedMatch Group or a named third party compared it with an original third-party document, a test or an inspection, and the note records what was checked, by whom and when. A supplier's own declaration stays supplier-submitted even when it looks official.

Only after the offers are normalised. Restate each on the same Incoterm, currency, delivery point and scope, and add the gaps you would have to fill yourself. An offer that is cheaper because it excludes commissioning, freight, registration or a quality test is not the cheaper offer.

No reliable offer should. Yield and performance depend on site, management and season, and compliance is decided by the authority at destination. Ask for test results, design calculations and documents instead, and treat any guarantee language as a reason to ask more questions.

With SeedMatch Group, suppliers stay anonymous and communication is mediated until you approve an introduction. That keeps comparisons on the same basis and protects your contact details.
