Commercial input procurement checklist

Commercial Fertilizer Procurement Checklist

Everything a commercial fertilizer requirement has to state before quotations can be compared — specification, tolerances, documentation, registration, packaging, logistics and commercial terms. Supplier-neutral, and it stops short of agronomy: application rates and nutrition programmes remain the responsibility of your own agronomist.

Direct answer

Commercial Fertilizer Procurement Checklist

A complete commercial fertilizer requirement states nine things: the product and guaranteed analysis, purity and contaminant limits, physical form and solubility, documentation (Certificate of Analysis, Safety Data Sheet, batch traceability), registration status in the destination country, packaging and shelf life, annual tonnage with shipment size and frequency, Incoterms with destination port and importer of record, and payment or trade-finance terms. Quotations that omit any of these cannot be compared on landed usable cost.

Quick answer

A complete commercial fertilizer requirement states nine things: the product and guaranteed analysis, purity and contaminant limits, physical form and solubility, documentation (Certificate of Analysis, Safety Data Sheet, batch traceability), registration status in the destination country, packaging and shelf life, annual tonnage with shipment size and frequency, Incoterms with destination port and importer of record, and payment or trade-finance terms. Quotations that omit any of these cannot be compared on landed usable cost.

1. Product & guaranteed analysis

  • Product name or buyer-specified formulation
  • Guaranteed analysis (N-P-K and secondary nutrients, % w/w)
  • Nutrient source per elemente.g. nitrate vs ammoniacal vs urea nitrogen
  • Micronutrients and chelate type where requiredEDTA / DTPA / EDDHA — state the pH range of use
  • Physical form (crystalline, prilled, granular, liquid, suspension)

2. Quality limits & tolerances

  • Water solubility and insoluble residue limit
  • Chloride and sodium maximum
  • Heavy-metal limits (Cd, Pb, As, Hg) to destination regulation
  • Moisture, caking and free-flow requirements
  • Analysis tolerance accepted per lot

3. Documentation

  • Lot-level Certificate of Analysis (CoA)
  • Safety Data Sheet (SDS) in the destination language
  • Batch traceability and retention-sample policy
  • Manufacturing quality system evidence (e.g. ISO 9001)
  • Organic input certification where the programme requires it
  • Third-party laboratory verification — who pays, which lab

4. Registration & import readiness

  • Product registration or notification status in the destination country
  • Import permit and customs classification (HS code)
  • Importer of record confirmed
  • Label artwork, language and claim requirements
  • Restricted or controlled substances screening

5. Packaging, storage & shelf life

  • Pack size (25 kg · 50 kg · 500/1,000 kg big bag · IBC · bulk)
  • Pallet configuration, shrink-wrap and marking
  • Shelf life and stability data for the transport route quoted
  • Storage conditions required at destination
  • Private-label or neutral packaging requirement

6. Volume & supply programme

  • Annual tonnage per product
  • Quantity per shipment and number of shipments
  • Spot purchase, seasonal programme or annual supply agreement
  • Required delivery schedule and seasonal peaks
  • Buffer stock or local warehousing expectation

7. Logistics & Incoterms

  • Incoterm quoted (EXW · FOB · CFR · CIF · DAP · DDP)
  • Load port and destination port or inland destination
  • Container type and stuffing requirement
  • Inland transport and demurrage responsibility
  • Insurance scope and who arranges it

8. Commercial terms

  • Price basis, currency and quote validity period
  • Payment terms (LC, CAD, TT, open account) and credit period
  • Trade finance or supplier credit interest
  • Price adjustment mechanism for a multi-shipment programme
  • Quality claim, rejection and replacement procedure

9. What stays outside procurement

  • Application rates and crop nutrition programmeYour agronomist decides these — a supplier recommendation is not independent advice
  • Fertigation equipment and dosing capacityEquipment is a separate capital request, never combined with product supply
  • Water analysis and compatibility review
  • On-farm storage and handling safety compliance

FAQ

What is the difference between a Certificate of Analysis and a Safety Data Sheet?
A Certificate of Analysis reports what a specific production lot actually contains, measured in the manufacturer's laboratory. A Safety Data Sheet describes handling, hazards, storage and emergency response for the product in general. A serious offer includes both, and the CoA must reference the lot you are shipped — not a generic specimen.
Does SeedMatchGroup recommend fertilizer products or application rates?
No. SeedMatchGroup structures a commercial requirement and runs a supplier-neutral process against it. Product selection, application rates and crop nutrition programmes are agronomic decisions that belong to your own agronomist or an independent adviser.
Is fertilizer supply ever combined with fertigation equipment in one request?
No. Recurring product supply and capital equipment are quoted by different suppliers on different terms, so they are always requested separately. An integrated project can produce both packages, but never as one RFQ.
Why is the lowest price per tonne often not the lowest cost?
Landed usable cost includes freight, insurance, duty, port and inland charges, financing cost, packaging, and the actual declared nutrient content. A cheaper tonne with lower analysis, higher insolubles or missing registration can cost more per unit of usable nutrient and delay the season.
