Fresh produce buyer tools: season windows and quote checklist

Sources reviewed 26 Oct 2026

Plan when to buy cherries, avocados, berries, citrus and vegetables from sourced season windows, then compare supplier quotes on the same basis. Buyer access to SeedMatch is free: our team helps organise your specification, coordinate the supplier search and compare offers. We do not guarantee price, savings, supply or regulatory approval.

This page is about buying harvested fresh produce. SeedMatch does not grow, pack, sell, inspect or certify produce. Your details stay confidential and supplier communication is mediated by Global B2B Group, SeedMatch's parent group.

Seasonal availability guide

Pick a product and, if you like, your delivery months. Each row shows the window a cited source reports for one origin, what that window measures, and the source with its date. Windows are not SeedMatch stock, a supply commitment or a price; actual availability is only known once suppliers respond to a request.

Before you request quotes

Suppliers can only quote on the same basis if they receive the same specification. The request form asks for each of these.

  1. List every product, with variety, grade or size and acceptable origins.
  2. State volume per product and how often you buy (one-off, weekly, seasonal programme).
  3. Give the destination country and port or city, and the delivery window you need.
  4. Describe packaging, labelling and any private-label requirements.
  5. List the certificates and documents your market or customer requires.
  6. Note cold-chain needs (temperature, controlled atmosphere) and any ripening programme.
  7. Attach specification sheets or retailer requirements if you have them.

Quotation comparison checklist

Compare up to three quotes on what each one states in writing: price basis, delivery terms, packaging, traceability, certificates and claims. This tool does not convert currencies, rank suppliers or check documents. Nothing you enter is sent or saved; it stays in this browser tab.

Price basis and delivery terms
  • Price per stated unit and currency

Per kg, per carton or per container are not comparable until converted on the same basis by you.

  • Incoterms® rule with a named place

FOB Callao and DAP Rotterdam include different freight, insurance and risk.

  • Quote validity date

Fresh-produce quotes often expire quickly as the season moves.

  • Payment terms and milestones

Advance, documents or open account terms change the real cost and risk.

  • Volume per shipment and programme length

A price for one trial pallet may not hold for a weekly programme.

  • Who pays treatment, inspection and document fees

These are often left out of the headline price.

Product and grade
  • Variety or cultivar named

Avoids substitution with a different variety.

  • Class, size or calibre with tolerances

Two quotes for “Class I” can still differ in size mix.

  • Maturity or quality parameters and how they are measured

e.g. dry matter for avocados, Brix or firmness for fruit.

  • Expected shelf life on arrival

Needed to plan ripening, retail programmes and transit mode.

Packaging and labelling
  • Pack type, net weight and units per carton

Packaging differences change the price per kg.

  • Pallet configuration and cartons per container

    Determines landed cost per unit.

  • Label content, language and private-label artwork

Labels must meet your market's rules and your customer's specification.

  • Packaging materials accepted at destination

Ask what applies to wooden pallets and packaging in your market.

Traceability
  • Lot code linking cartons to packhouse and production site

Needed for any claim, withdrawal or recall.

  • Packhouse and production sites named (registered where the destination requires it)

Some markets only accept fruit from approved or listed sites.

  • Withdrawal and recall procedure

Who acts, how fast and with what records.

Certificates and documents
  • Farm assurance certificate (e.g. GLOBALG.A.P.) with number and validity you can check

Ask for the certificate number and check it with the issuer, not only a copy.

  • Packhouse food-safety certificate where your customer requires it (e.g. BRCGS, IFS)

    Retail buyers often require it.

  • Residue test report: laboratory, date and lot, against destination limits

A report for a different lot or market does not cover your shipment.

  • Phytosanitary certificate from the exporting country's plant-protection authority, where required

Requirements depend on the product and destination.

  • Certificate of origin where a tariff preference is claimed

Without it, the preferential duty may not apply.

  • Organic certificate and the import documents the destination requires, if organic is quoted

An organic claim without these cannot be sold as organic.

Logistics and cold chain
  • Transport mode and estimated departure and arrival

Sea and air change cost, shelf life and timing.

  • Temperature setpoint, atmosphere and recorder data shared

Needed to assess quality claims on arrival.

  • Transit time compared with shelf life

Long routes can leave too little selling time.

  • Who insures the cargo and where risk passes

Follows the Incoterms® rule; check it is stated.

Quality claims
  • Arrival inspection standard and who inspects

Agree it before shipping, not after a problem.

  • Claim window and evidence required

e.g. photos, temperature log and inspection report within a set time.

  • What happens to rejected or re-sorted fruit and who pays

    Often the largest hidden cost.

How our team helps

  1. Private request

You list the products, specifications, volumes, timing and documents you need.

  2. Specialist review

A sourcing specialist checks the request and asks about anything unclear.

  3. Supplier search

Suitable suppliers are approached without your contact details.

  4. Comparison

Offers are organised on one basis, with gaps and missing documents flagged for you.

Managed sourcing is for programmes from USD 250,000. Outcomes depend on suppliers, the season and the authorities; better prices or time savings are possible, never promised.

Questions buyers ask

Is SeedMatch's sourcing support free for buyers?

Yes. Buyers do not pay SeedMatch Group to submit a request or for the team to coordinate the search and comparison. Managed sourcing is for programmes from USD 250,000.

Do the season windows mean the produce is available through SeedMatch?

No. Each window is what the cited source reports for that origin. It is not SeedMatch stock, a supply commitment or a price. Availability is only known once suppliers respond to your request.

Does SeedMatch guarantee price, savings, supply or regulatory approval?

No. The team helps organise your specification, approach suitable suppliers and compare offers on the same basis. Prices, supply and import approval depend on suppliers, the season and the authorities, and are never guaranteed.

Can I ask for several products in one request?

Yes. The fresh-produce request form lets you add up to six products, each with its own variety, grade or size, origin, packaging and volume, sharing one destination and delivery window.

Will suppliers contact me directly?

No. Your company and project details stay confidential, and supplier communication is mediated by Global B2B Group, SeedMatch's parent group.
